Privacy Policy

This policy explains how AusPlant Ltd ("AusPlant", "we", "us") collects, uses and protects personal information when you use the AusPlant website (ausplant.com), the AusPlant web platform (app.ausplant.com) and the AusPlant mobile app for iOS and Android (together, the "Services").
AusPlant Ltd is a company registered in Ireland (company number 804081) and operates in Perth, Western Australia. We handle personal information in line with the Australian Privacy Act 1988 (Cth), including the Australian Privacy Principles, and, where it applies, the EU General Data Protection Regulation (GDPR).
1. Our role
AusPlant is a business platform used by companies (our "Customers") to manage their plant and equipment. Your employer, or the company you work with, decides to use AusPlant and creates your account.
- Customer data. For information entered into the platform or app by or about a Customer's workers (such as prestarts, defects, inspections and photos), the Customer controls that information and AusPlant processes it on the Customer's behalf. If you have questions about how your employer uses this information, please contact them first. We will help them respond.
- Our own data. For website enquiries, Customer billing contacts, and information we use to run and improve the Services, AusPlant decides how that information is used.
2. Information we collect
We collect only what we need to provide the Services.

The mobile app does not ask for your location and does not track where you are. Location information in the Services relates to equipment or work sites. It comes from site details your employer enters, or from GPS or telematics systems your employer chooses to connect.
We do not sell personal information. We do not use it for advertising, and we do not track you across other apps or websites.
3. Mobile app permissions
The app asks for these permissions only when you use the feature that needs them. You can change them at any time in your device settings.

You choose which photos to attach. Photos are uploaded to the AusPlant platform only when you attach them to a record. The app does not upload your photo library in the background.
4. How we use information
We use personal information to:
- create and manage your account and let you sign in securely
- provide the Services, including prestarts, inspections, defect tracking, work orders and reports for your employer
- send service emails such as sign-in, account and work order notifications
- provide support and respond to enquiries
- keep the Services secure, prevent misuse and fix errors
- improve the Services, using aggregated or technical data where possible
- meet our legal obligations
Where GDPR applies, we rely on performing our contract with our Customers, our legitimate interests in running a secure and reliable service, compliance with legal obligations and, where needed, your consent.
5. Who we share information with
We share personal information only as needed to provide the Services:
- Your employer and colleagues: records you create are visible to authorised users in your company, based on the roles your employer sets.
- Service providers: trusted companies that host and run parts of the Services for us, under contracts that require them to protect the information and use it only on our instructions.
- Legal reasons: where required by law, or to protect the rights, safety or property of AusPlant, our Customers or others.
- Business changes: if AusPlant is involved in a merger, sale or restructure, information may transfer to the new owner under the same protections.

6. Where information is stored
Customer records, including photos and files, are stored in Sydney, Australia. The website, platform, and background processing also run in Sydney. AusPlant Ltd is registered in Ireland.
7. Retention and security
Retention
We keep Customer data for as long as the Customer's subscription is active, or as long as the Customer instructs us to. Many records, such as prestarts and inspections, are kept for safety and compliance purposes. When a subscription ends, we delete or return Customer data within 90 days, unless the law requires us to keep it longer. Website enquiries are kept for up to 2 years.
Security
We protect information with:
- encryption in transit (HTTPS) and at rest
- role-based access, so users only see what their role allows
- passwords stored only in hashed form by our authentication provider
- access to production systems limited to authorised AusPlant personnel
- reputable hosting providers with strong security certifications
No system is completely secure. If a data breach is likely to cause serious harm, we will notify affected Customers, individuals and regulators as required by law.
8. Your rights
You can ask to:
- access the personal information we hold about you
- correct information that is wrong or out of date
- delete your account and personal information
- object to or restrict certain uses, or receive a copy of your data (where GDPR applies)
Accounts are managed by your employer, so the quickest way to update or remove your account is to ask your company's AusPlant administrator. You can also email us at privacy@ausplant.com. We will verify your identity, work with your employer where needed, and respond within 30 days.
Some records may need to be kept after an account is deleted, for example prestarts your employer must retain for workplace safety. In that case we keep only what is required.
Complaints
Please contact us first and we will try to resolve your concern. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au) or, where GDPR applies, the Irish Data Protection Commission (dataprotection.ie).
9. Cookies
The web platform uses essential cookies to keep you signed in and to keep the Services secure. These cookies are set through our authentication provider and are needed for the platform to work.
The website does not use analytics or advertising cookies.
10. Children
The Services are for workplace use and are not intended for anyone under 16. We do not knowingly collect information from children.
11. Changes to this policy
We may update this policy from time to time. We will post the new version on this page with a new effective date, and let Customers know of significant changes.
